Terms & Conditions – Agapo Trips

Booking & Payment
Agapo Trips shall not be responsible for any loss, damages, delays, or inconveniences arising due to inaccurate, incomplete, or incorrect information provided by the traveler at the time of booking.
Payments towards the tour cost must be made according to the payment schedule mentioned in the itinerary or by the deadline communicated by Agapo Trips. Failure to make payments within the stipulated timelines may result in automatic cancellation of the booking, forfeiture of the seat, and applicable cancellation charges.
Final tour confirmation and travel documents will be issued only upon receipt of the full tour payment.
For international tours, Agapo Trips reserves the right to withhold travel documents until all outstanding payments have been cleared.
Travelers undertaking international tours must provide copies of a valid passport (with a minimum validity of six months beyond the return date of travel) and PAN card, along with any other documentation required for travel processing.
Tour Changes & Transfers
Requests to transfer from one Agapo Trips tour to another will be considered on a case-by-case basis and subject to availability, cancellation policies, and applicable charges.
Visa & Travel Documentation
Visa issuance is solely at the discretion of the respective Embassy, Consulate, or Visa Authority. Agapo Trips shall not be held responsible for visa refusals, delays, rejections, or any resulting losses. Any refundable amount recoverable from the tour cost, after deducting non-refundable expenses, shall be processed accordingly.
Travelers are solely responsible for ensuring they possess valid passports, visas, permits, and travel documents required for the tour.
Tour Cancellation & Modifications by Agapo Trips
Agapo Trips reserves the right to cancel, postpone, or reschedule any tour prior to departure for operational, commercial, safety, or other reasons. In such cases, travelers may be offered an alternative departure date. If the alternative is not acceptable, Agapo Trips will refund the amount paid towards the tour package. No additional compensation, damages, or claims shall be entertained.
Agapo Trips shall not be responsible for cancellation charges, losses, or penalties related to flights, visas, hotel bookings, or other travel arrangements not booked directly through Agapo Trips.
Agapo Trips reserves the right to modify itineraries, sightseeing schedules, transportation arrangements, and accommodation details whenever necessary. Any replacement hotel shall be of a similar category and standard, and all efforts will be made to maintain the overall experience and inclusions originally promised.
Refund Policy
Refunds arising from cancellations, amendments, or other approved claims shall be processed directly by Agapo Trips. Refund processing may take up to 30 working days from the date of approval.
Agapo Trips shall not be liable for any disruption, delay, additional expense, loss, injury, or cancellation arising from circumstances beyond its reasonable control, including but not limited to:
Riots, civil unrest, political disturbances, war, or threats thereof.
Natural disasters such as floods, landslides, earthquakes, storms, heatwaves, or adverse weather conditions.
Flight, train, ferry, bus, or other transport delays, cancellations, or schedule changes.
Epidemics, pandemics, government restrictions, or border closures.
Technical failures or operational disruptions by third-party suppliers.
Any additional costs arising due to such events shall be borne solely by the traveler.
Traveler Responsibilities
Travelers are responsible for their own health, fitness, and ability to participate in the tour itinerary. Any medical condition that may affect travel must be disclosed at the time of booking.
Agapo Trips shall not be responsible for interruptions to the tour caused by illness, injury, medical emergencies, or a traveler's inability to continue with the itinerary.
Loss, theft, or damage to personal belongings, baggage, valuables, travel documents, or other personal property shall be entirely the responsibility of the traveler.
Travelers above 70 years of age are welcome to travel with Agapo Trips; however, they may be required to travel with a companion, family member, or friend, depending on the nature of the tour.
Failure to disclose relevant medical conditions may result in rejection of travel insurance claims and Agapo Trips shall not be held liable for such outcomes.
Foreign Exchange Fluctuation
In the event of a foreign exchange rate fluctuation exceeding INR 2 per unit against USD, EUR, GBP, or any other applicable foreign currency between the time of booking and final payment, Agapo Trips reserves the right to revise the tour cost accordingly. Any gain or reduction resulting from such fluctuations may also be passed on to the traveler where applicable.
Travel Arrangements Made Independently
Agapo Trips shall not be responsible for any losses arising from incorrect visas, invalid travel documents, flight bookings, or other travel arrangements made independently by the traveler.
Jurisdiction
These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Any dispute, claim, or legal proceeding arising out of or relating to these Terms & Conditions shall be subject exclusively to the jurisdiction of the courts of New Delhi, India.
Tax Information
Package prices are inclusive of applicable Goods & Services Tax (GST) unless otherwise stated.
Tax Collected at Source (TCS), wherever applicable under Indian tax regulations, shall be collected and deposited by Agapo Trips. Travelers may claim credit for the TCS amount while filing their Income Tax Return, subject to prevailing tax laws. Relevant certificates shall be issued as per statutory timelines.
